- Coordinate with the committee to bring on a new person to replace the member that has rotated off.
- You and the committee need to shake the research tree for next year’s new candidates.
- There are papers that have been in consideration for 4 years that were not chosen for awards.
These papers will rotate out of the queue. Send a letter to the nominators of these papers
to explain that other papers were considered by the committee to be more important (especially
in the first few years of this award), but re-nominations will be accepted.
- The SPLMIP mailing list and nomination list must be updated, and likely moved to splc.net(?)
for maintaining their currency.
- Late February — distribute the considered papers for review. All papers must be reviewed and ranked. 1 month to do this is sufficient.
- Late March — collect the results and decide on an awardee. Should there be a tie (of some sort), a second round of voting could take place. It is possible to agree to have two awards this year.
- Early April — create the award: literally explain the paper’s contribution to SPLs that will form the plaque (a framed version of this note) to be given to the awardees. It should be signed by the Chair of the SPLMIP committee and (ideally) signed by one of the people who nominated the paper.
- Late-April — announce the winners, and coordinate with the SPLC conference for travel funds to be shared by awardees. Find someone on the Committee to present the award at SPLC (if possible).
- Announce next fall’s SPLMIP chair, and step down after the SPLC conference
- Re-read the Rules for paper qualification.
- Don’t wait to hear from the Chair on finding new nominations for SPLMIP. This task can be
time consuming to find paper(s) and coordinate with others to find people who will nominate
this paper. SPLMIP members cannot be signatories of nominations.
- In Late February you will be sent a small package of nominated papers to review. All papers must be reviewed and ranked. Papers will be ranked on their readability, significance, and “teaching material”.
- Late March — submit your reviews to the Chair
- Early April — help create the award: literally explain the paper’s contribution to SPLs that will form the plaque (a framed version of this note) to be given to the awardees. The Chair will either take or delegate the lead for this task; others will verify its accuracy.
- SPLC — if you are attending, let the Chair know this fact, and if you are available to present the award.
